Job Description:

Facilities

  • To ensure all Planned Preventive Maintenance (PM) schedules are up to date and being execute according to the schedule.
  • To attend to and troubleshoot all kinds of problem pertaining to office supplies and facilities arisen from time to time.
  • To monitor the schedule for cleaning and disinfecting of the office.
  • To attend to any issue/request submit by employee related to office facilities.
  • To ensure compliance with information security policy and health & safety regulations.

Office Administration

  • To prepare access card for new hires, vendors/contractors/visitors and manage the door access accordingly.
  • To manage employee telephony profile including creation of new profile, update and deletion.
  • To liaise with vendors/contractors, monitor the Service Level Agreements (SLAs), including attending supplier review meetings.
  • To act as first point of contact for vendors/contractors/visitors and escort them accordingly.
  • To ensure phone calls are answered in timely manner.
  • To monitor and coordinate parking space allocation.
  • To keep track and update monthly report (eg: expenses report, inventory report and etc)
  • To maintain pleasant appearance and tidiness of the office area.
  • To manage the courier of documents including accept, send out and distribute to the relevant department.
  • Any ad hoc assignment

Requirements:

  • 1 – 2 years’ experience in the related field
  • High proficiency in Microsoft Office Application
  • Handling Pantry Items and office suppliers
  • Good communication and listening skills.
  • Exceptional call handling skills.
  • Meticulous and result oriented
  • Ability in handling multitask
  • Ability to contribute to and work within a team-based environment.
  • Self-motivated and able to work autonomously.
  • Troubleshooting and problem-solving experience, preferably in an environment providing basic office administration support.
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • knowledge of principles and practices of basic office management

Job Type: Contract
Contract length: 12 months

Salary: RM2,000.00 - RM2,800.00 per month
